PRIVACY POLICY:
Automotive Events GmbH organises this event, the EAIVT - INTERNATIONAL MARKETS CONGRESS, on behalf of EAIVT (THE EUROPEAN ASSOCIATION OF INDEPENDENT VEHICLE TRADERS) and processes information and personal data from its conference guests solely for the purpose of carrying out any of the below-mentioned lawful activities, performing necessary internal data subject administration, and in particular in order to deliver the conference services, for which the data subjects have entered into a contract with EAIVT/Automotive Events GmbH.

By filling in the on-line registration for the EAIVT INTERNATIONAL MARKETS CONGRESS, you confirm that you have also taken note of our general privacy policy on this site, and that you consent to our using of your data to process your request and create a company profile for your enterprise.

DATA PROTECTION RULES:
In the registration process you will be asked to fill in a form and enter data on your company and your person. This data will be used exclusively for the purpose of registering participants for the EAIVT INTERNATIONAL MARKETS CONGRESS. Your data will not be used for anything else. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We will only use your personal information to send you information about the event and to enter your company and personal name in the participants list.

You may at any time request details of the personal information which we hold about you. If any of the data we hold is incorrect and needs changing, or you want us to delete it, please let us know in writing (email to 'events@eaivt.org') and we will do so without delay.

In the following we are outlining the principles on which we base our data handling procedure:

On 25 May 2018 REGULATION (EU) 2016/679, the EU “General Data Protection Regulation” (GDPR) came into force in the European Union.

The GDPR lays down rules relating to the protection of natural persons with regard to the processing of personal data and rules relating to the free movement of personal data. GDPR requires all enterprises to obtain consent from data subjects regarding the collection and processing of personal data.

Some definitions:
•    ‘Enterprise’ means a natural or legal person engaged in an economic activity, irrespective of its legal form, including partnerships or associations regularly engaged in an economic activity.
•    ‘Consent’ of the data subject means any freely given, specific, informed and unambiguous indication of the data subject’s wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data relating to him or her.

Summary of principles relating to processing of “personal data”
Personal data shall be:
  • • a) processed lawfully, fairly and in a transparent manner in relation to the data subject
  • • b) collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes
  • • (c) adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed
  • • (d) accurate and, where necessary, kept up to date; (…)
  • • (e) kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed
  • • f) processed in a manner that ensures appropriate security of the personal data
Please be informed that in compliance with the principles listed in a) to f) above, some of your data will be shared with doo GmbH, Hultschiner Straße 8, D-81677 München, who provide the technical interface for the conference registration and for its accounting. Accordingly, registered participants will be contacted by doo GmbH for accounting purposes.

Lawfulness of processing
  • To ensure lawfulness of data processing it is required that the data subject has given consent to the processing of his or her personal data for one or more specific purposes. It is further required that the processing of personal data is necessary for the performance of a contract to which the data subject is party or that processing is necessary for the purposes of the legitimate interests pursued by Automotive Events GmbH (the data controller) or by a third party.
NB: By filling in the on-line registration you give your consent to our processing of your data for the purpose of your registration as a participant at the above-named event.

Right to object
Data subjects have the right to object, on grounds relating to their particular situation, at any time to the processing of the personal data concerning them. As outlined further above, the data collected by us will be used exclusively for the purpose of registering participants for the EAIVT INTERNATIONAL MARKETS CONGRESS. After successful registration you will be sent a confirmation email listing the data we have stored for you.

Automotive Events GmbH will not process your personal data for direct marketing purposes of third parties and we will only store your data under our legal obligations relating to the contractual relationship between us.

Data collected from conference guests will be used for internal purposes only. Photographic material collected at the EAIVT INTERNATIONAL MARKETS CONGRESS will be used for the documentation of the event.
